Using this platform

By opening an account or sending a request through RMS, you agree to these terms. If you do not agree with them, do not use the platform. Requests still reach the office through the counter.

Who may register

• Staff and students of Kenyatta University, using a university email
• Visiting fellows and affiliated researchers cleared by the directorate
• Partners working with us on a named study

Accounts are personal. Do not open one on behalf of another person.

Your account

Keep your password to yourself and sign out on shared machines. Anything sent from your account is treated as sent by you.

Tell us at once if you think someone else has your details. We may suspend an account while we look into it.

What you submit

You are responsible for the accuracy of every form, budget and document you upload. Declarations on the platform carry the same weight as a signature on paper.

• Upload only work you have the right to share
• Do not attach personal data about others without their consent
• False or altered documents end the request and go to the Registrar

Fair use

Use RMS for research business only. Do not try to reach records that are not yours, test the platform for weaknesses without written permission, upload harmful files, or automate bulk requests.

Approvals

Sending a request is not the same as getting approval. Reviewers may ask for changes, hold a file for more information or turn it down with reasons.

Where a decision is recorded on the platform, that record stands. Appeals go to the Registrar, Research, Innovation and Outreach.

Availability

We aim to keep RMS up at all times, with notice before planned maintenance. Deadlines set by funders and ethics committees still hold, so send your file early rather than on the closing day.

Ownership

The platform, its name, its logo and its code belong to Kenyatta University. Your research work stays yours, subject to the research policy and any funder agreement.

Liability

The university is not liable for loss caused by a missed deadline, a network failure on your side, or a decision reached by a review committee acting within its mandate.

Law and contact

These terms are read under the laws of Kenya and the statutes of Kenyatta University.
